Building Operations and Maintenance

Systems, vendors, inspections and emergency response, run by our own staff.

A building's physical condition is the owner's capital and the tenant's daily experience. Because Leasebrook is both the owner and the operator, there is no gap between the two. We run building operations on a written program rather than on reaction, so that systems last, tenants are comfortable, and capital events are scheduled instead of sudden.

Preventive maintenance

Each building has a maintenance schedule covering HVAC, electrical distribution, plumbing and domestic water, roofing and drainage, elevators, fire alarm and sprinkler systems, emergency lighting and generators, parking surfaces and lighting, and building envelope. Work is scheduled, tracked to completion and documented, and the records stay with the building.

Vendor management

Service contracts are specified in writing, bid competitively and awarded on scope and performance as well as price. We verify licensing and insurance, inspect completed work, and re-bid contracts on a cycle. Vendors know that the owner walks the property.

Inspections

Routine property walks produce written findings and work orders. Seasonal inspections address roofs, drains, irrigation, exterior lighting, paving and landscaping ahead of weather. Vacant suites are inspected regularly so that they show well and problems are caught early.

Compliance

Fire and life-safety testing, elevator inspections and certificates, backflow prevention testing, generator testing, and other jurisdiction-specific requirements are kept on a compliance calendar with the documentation a lender, insurer or fire marshal would ask for.

Emergency response

Emergencies are answered around the clock. The response plan for each building identifies the on-call manager, the vendors for each system and shut-off locations. After an incident, affected tenants hear from us about what happened and what was done.

Energy and utilities

Utility consumption is tracked by meter and compared month to month and year to year. Anomalies are investigated, and efficiency projects that pay for themselves are funded by the owner.

Does Leasebrook employ its own maintenance staff?

Staffing is set per building. Larger buildings may justify dedicated on-site engineering staff; most are served by a Leasebrook property manager supported by contracted trades under written specifications.

How are emergencies handled at night and on weekends?

The main number is answered at all hours and routed to on-call coverage. Each building has a written emergency plan with vendor contacts for every major system.
